Our client, a multinational interior design company, is currently seeking anAdministrative Assistantto join the dynamic team in Abu Dhabi.Your responsibilities will include
Providing general reception and office administrative functions (welcoming guests, receiving and sending courier envelopes, mailing, filing, faxing, contacting external services for office repair work and office machinery maintenance)
Handling visa documentation (invitation letters for guests, visa applications for employees) and booking of hotel accommodations for employees, guests
Handling of cash box (including purchase of office and kitchen supplies) and prepare expense reports for employees
Overseeing telephone switchboard and translations as from time to time required
Preparing monthly accounting documents (collecting of invoices and receipts, scanning of documents for accounting system in Germany, copying, filing, eventually basic accounting
Assisting the Manager (e.g. organising meetings, consolidating to do list of employees and travel plans) in preparing and writing minutes of meetings
Organising travel arrangements for employees (flights, hotels, pick-up) and any other task as decided from time to time by the employer.The ideal candidate will have relevant experience in a similar role.You will have excellent telephone etiquette and outstanding communication skills in English and Arabic.Proficiency in MS Office packages is also essential to this role.If you are flexible and a team player, apply today!
