Rasasi scents success with Lotus deployment

A Dubai-based perfume company hopes to enjoy the sweet smell of success after implementing IBM’s Lotus Domino System to handle its internal and external communications tasks.

A Dubai-based perfume company hopes to enjoy the sweet smell of success after implementing IBM’s Lotus Domino System to handle its internal and external communications tasks.

Rasasi Perfumes Industry produces over 100 fragrances at its factory in the Jebel Ali Free Zone.

It hopes the Lotus Domino technology platform, which was implemented by Information Systems Design (ISD), will allow it to speed up the time in which it brings products to market and increase the efficiency of its employees.

The system will automate all its outgoing and incoming fax documents, and filter all e-mails through the firm’s mail server, before being sent to the respective e-mail addresses.

It will also allow Rasasi employees to access the communication network from their laptop PC while outside the office.

“The greatest advantage of this will be the time saving aspects,” said Salim Kalsekar, managing director, Rasasi.

“We can now get all the information we need at the click of the mouse. Now when our employees travel around the world they can connect to the local server and get access to the company database for information as well as pick up any correspondence, like e-mails or faxes,” he added.

“This programme is going to increase the productivity of our employees and make their lives so much easier,” he claimed.

Rasasi distributes its perfume products to a network of retailers and distributors in the Middle East, East African, Asian and Eastern European regions.

The Lotus system will speed up this process and will allow for information sharing betw- een employees, suppliers and channel partners.

“The success of our business depends entirely on perfection and in-depth research, with the average lead time for new perfume launches taking anywhere from 12 to 18 months from the time of product conception to actual production,” said Kaleskar.

“Quality is also a very important factor and we make sure that we test our products at every stage of production,” he went on to explain.

“The IBM Lotus Domino environment has provided us with the ideal platform for secure information sharing and communication between our employees, our numerous suppliers and channel partners,” Kaleshkar added.

The implementation of the system took six months and happened in three phases.

In phase one, the security system was installed; in phase two, the messaging infrastructure was implemented; and in phase three, the mobility aspects of the system were activated.

“There are some means of communication that are very difficult and time consuming to track, such as memos, post-it notes, SMS messages and voice mails,” said Bashar Kilani, soft- ware group manager, IBM Middle East, Egypt and Pakistan.

“With the new Lotus system, the communication system is standardised and all correspondence can be done securely in an organised and efficient manner. Even SMS messages can be sent via the e-mail system, and then tracked,” he added.
